1. DATES AND VENUES
The fair is taking place:

on October 09, 2024 in Wroclaw in the Mercure Wroclaw Centrum hotel (address: Pl. Dominikański 1, 50-159, Wrocław, Poland).
on October 10, 2024 in Poznan in the Andersia Hotel & Spa Poznan hotel (address: Plac Andersa 3, 61-894 Poznań, Poland)
on October 12, 2024 in Warsaw in the Radisson Blu Hotel Sobieski hotel (address: Plac Zawiszy 1, 02-025, Warsaw, Poland).

2. REGISTRATION OF PARTICIPANTS
Registration desks will be located outside the fair’s rooms. Opening hours for registration: 08.00 - 10.00 in Warsaw, and 09.00 - 11.00 in Poznan and Wroclaw.
Each participant will be provided with a name badge.

3. SET- UP OF WORKPLACES
All participants are welcome to set up their work places on the days of the fair from 08.00 - 10.00 in Warsaw, and from 09.00 - 11.00 in Poznan and Wroclaw.
The exposition area of each participant consists of a table and four chairs (2 from each side) and one table behind for placing materials and roll-up banners. Each workplace is equipped with free Wi-Fi internet and electricity access. Please note that it is prohibited to place any display materials (posters, etc) on the conference centre walls. Only roll-up banners are allowed.

In some locations, where the configuration and shape of the conference centres and rooms allow, secondary education providers will be allocated in a separate conference room, in order not to mix up with the universities and other types of educators.

In some other locations all educators will be placed in big “open space” conference rooms, divided into conditional separate zones (universities / business schools, schools/college, language schools/camps, etc).

The final decision regarding the allocation of secondary education providers will be made shortly prior to the event, depending on the final number and types of educators registered, in order to provide a maximally effective and logical flow of visitors during the event.
 
4. ASSISTANCE DURING THE EVENT

Please refer for any assistance to the Baltic Council’s information desk which will be located in the fair’s conference halls. Interpreters are not provided at the fairs, because the majority of visitors speak English.
 
5. CAFE AREA
Free coffee, tea and water will be available in the fair’s premises during the events from 10.00 till 17.00. Lunch or snacks will be provided at 13.00.
 
6. EVENING  RECEPTIONS
All participants of the fair are welcome to attend evening receptions & dinner:
on October 10 at 19.00 in Poznan
on October 12 at 19.00 in Warsaw
Dress code – smart casual.
 
7. SMOKING
Smoking is prohibited in any of the event’s facilities.

- Please plan the materials to be delivered during 7-10 days prior to the event.
- Please write the name of the institution clearly and indicate "no commercial value" on the packages.
- Please note that when sent from non-EU countries, your packages might need to go through customs, which may cause delays in delivery, therefore please take some materials with you in order to ensure you have some materials at the event.
- The organizer of the fair is not responsible for any loss, damage, late arrival of any materials sent directly to the hotels.
- Please choose reliable couriers to avoid any problems with delivery and contact you courier for delivery confirmation of your materials. Please note that neither hotels, nor Baltic Council staff are able to check physically if the materials have been delivered safely.

9. AIRPORT TRANSFERS ON ARRIVAL AND DEPARTURE
The fair’s organizer does not provide airport – hotel - airport transfers, but this can be arranged by the hotels on request. On arrival you can take a taxi outside the airport arrival hall, or use Bolt / Uber. On departure a taxi can be booked at the hotel’s reception or taken outside the hotels. All hotels are located approximately  20-30 minutes drive from the airports (depending on traffic intensity and weather conditions). One-way transfer fee is apprx. 20-30 euro and a taxi driver can issue a receipt.

10. COMPLIMENTARY COACH TRANSFERS BETWEEN THE CITIES
Complimentary coach transfers for the fair’s participants between the cities will be provided:
on Wednesday, October 09 at 17.00 from Wroclaw to Poznan
on Friday, October 11 at 10.00 from Poznan to Warsaw
